Entries Technologies Inc. ("Entries," "we," "us," or "our") operates the platform accessible at tryentries.com. We provide a Unified Data Warehouse and Reconciliation solution designed to help businesses consolidate, analyze, and gain insights from their operational data.
We are legally domiciled in Toronto, Ontario, Canada. We are committed to protecting the privacy of our users ("you") and complying with applicable data protection laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and the California Consumer Privacy Act (CCPA).
2. Information We Collect
To provide our services, we collect information in the following ways:
A. Information You Provide
Account Information: Name, business email address, and authentication credentials.
Support Data: Information you provide when contacting our support team or filing error reports.
B. Data from Third-Party Integrations When you explicitly authorize a connection to a third-party service, we access specific data via their API. We currently support connections to Enterprise Resource Planning (ERP) systems, HRIS/Payroll platforms (e.g., Gusto), and Payment Processors (e.g., Stripe).
Read-Only Access: Our integration scope is strictly Read-Only. We fetch data to analyze it; we do not write to or modify your source records unless you explicitly configure an active sync workflow.
Collected Data: Depending on your connected services, we may process:
Financial & Accounting Data: General ledger entries, invoices, bills, expense reports, and transaction history.
Payment Data: Payouts, charges, and refunds (via payment processors).
Employee & Payroll Data: Employee directories, compensation summaries, and payroll runs (via HRIS).
3. How We Use Your Information & AI Processing
We use your data to deliver our core Data Warehousing service.
A. Reconciliation and Anomaly Detection We use proprietary algorithms and statistical modeling to identify relationships between disparate data records (e.g., reconciling a Stripe payout to an ERP invoice).
Probabilistic Matching: Our system may use probabilistic methods to suggest links between records. These suggestions are presented for your review or automated based on your confidence settings.
Automated Processing: While we use automated logic to flag data anomalies, we do not make automated decisions that produce legal or similarly significant effects (such as credit denial) without human intervention.
B. Artificial Intelligence (AI) Disclosure We utilize advanced data processing technologies, including Snowflake Cortex Analyst, to enable natural language querying of your data.
No Public Model Training: We do not use your proprietary customer data (PII or Financials) to train or fine-tune public Large Language Models (LLMs). Your data remains isolated within our governance boundary.
Inference Only: When you ask a question (e.g., "Show me Q3 revenue"), the system uses metadata (table names) to generate SQL queries. The underlying row-level data is not ingested by the AI model provider for learning purposes.
4. Data Storage and Cross-Border Transfer
Location: While we are a Canadian company, our primary data processing infrastructure and cloud servers (specifically Snowflake and AWS) are located in the United States.
Transfer Consent: By using our service, you acknowledge and consent to the transfer, processing, and storage of your information in the United States, where data protection laws may differ from those in your jurisdiction.
Security: We protect this data using AES-256 encryption at rest and TLS 1.2+ in transit, regardless of where the server is located.
5. Sharing Your Information
We do not sell your personal data. We share data only with:
Sub-Processors: Trusted infrastructure providers (e.g., Snowflake, Amazon Web Services) who process data on our behalf under strict confidentiality agreements.
Legal Obligations: If required by law, subpoena, or valid legal process.
6. Your Rights (Canada)
Under PIPEDA, Canadian residents have the right to:
Access the personal information we hold about you.
Request correction of inaccurate data.
Withdraw consent for data use (which may limit service functionality).

8. Data Retention
We retain your integration data only as long as you maintain an active account. Upon account termination, your data is scheduled for permanent deletion from our production databases within 30 days.
